Job description

The role:

The Receptionist will be the first point of contact for the organization; and as such it’s important that they deliver friendly, efficient customer service and create a warm and welcoming atmosphere for all our guests. They will coordinate the movement of all visitors to the building in a professional and helpful manner as well as providing an overflow of administrative support for the office. The Receptionist will pride themselves on their professional and upbeat manner, enjoying going out of their way to help others.


Key Responsibilities:

  • To assist departments with their day-to-day administration tasks, and to provide administration assistance when required
  • Answering the phone in a professional manner and quickly transferring to the correct department, taking messages where necessary
  • Managing the visitor’s clock in system; using the pre-registration system
  • Keeping the reception area spotless
  • Stock take and ordering of stationery in a timely manner for a seamless supply. Resourcing when necessary to ensure best quality and value is obtained
  • Ordering of canteen supplies (tea, coffee, sugar)
  • Ordering of refreshments for meetings as required
  • Potentially will be responsible for also franking post.
  • Assisting other members of the office team with mail outs, filing, and any other overflow duties
  • Management of meeting rooms calendars – including liaising with employees directly where there are clashes.
  • Safety shoes issuing and management.
  • Assisting with staff locker allocations and key press management
  • Assisting with car park allocation and process
  • Support with ordering and issuing uniforms.
  • Assisting with staff loan bike allocations and signing over
  • Managing reception bikes, ensuring that they are in good condition.
  • Assist with setting up factory tours when required and being the point of contact.
  • Assist with on boarding new staff members as directed.
  • Assist with internal social events and activities (staff socials, bike outings, xmas events)
  • Support with the upkeep, maintenance, and food supplies for the breakfast bar
  • Assist with ordering staff gifts (baby plaques, wedding presents, flowers for bereavements)
  • Setting up bikes to show visiting clients/customers/tours
  • Assisting with the fire drill procedure / administration
  • Support car parking policy with management of the system and electric car charging system.
  • Assisting overflow parking solutions.

  • The ability to use office equipment such as switchboards, fax machines and photocopiers
  • Interest in the work of the organisation
