Ecommerce Operations Controller

We are amid bringing an equal focus to our customers and how they experience the brand through their buying and ownership experience. A key role in the fast paced Omnichannel expansion, you will deliver and then help define the processes required to scale our ecommerce operations. Already operating across 11 online stores and 3 warehouses you will have responsibility for integrating Ecommerce fulfilment into the business across Finance, Warehousing, Buying, Retail Operations, Sales Planning & Customer Service.

Daily Tasks

Stock level update report for SGP / UK and EU

Notification of stock outs in all warehouses for all regions

Returns management with CS team. Physical and warehouse

Raise Invoices Magento

Investigating any stock / order issues across all E-com systems

Providing Junction team with C&C awaiting pick up list

Day to day processing and dispatch of all E-com orders

To work alongside dispatch and help with all day to day duties within the dispatch team, including dispatching orders, invoicing and order processing

      Weekly

      • Weekly team meeting to review trading plan and identify stock shortages – to be held with wider E-Com team
      • Weekly stock position for all warehouses – to be presented during weekly meeting
      • Review stock levels and replenishment orders for SGP / USA / BBL – report to be delivered at weekly meeting

      Goals

      • 100% stock accuracy in the UK warehouse
      • Creating SOP for stock control in UK warehouse
      • Creating SOP for better integration of processing all E-com operations in agreement with E-Com section and Operations
      • Create systems of reporting exceptions / KPI’s agreed with both operations and E-Com sections

      Main Duties

      • Shipment fulfilment
      • Dispatching
      • Track and Trace information control
      • Issuing Credit notes as and where required
      • Accounting for Orders Paid not dispatched
      • Apportioning sales to the correct market and product nominal
      • Posting invoices into our accounting system
      • To work alongside dispatch and help with all day to day duties within the dispatch team, including dispatching orders, invoicing and order processing
      • Taking instruction from section Manager and holding to instruction until action is completed

      Inventory Management

      • Implementing regular stock counts for Ecommerce, providing value and turn by SKU
      • Reporting on product performance, ensure key lines are never out of stock with purchasing and dispatch to ensure correct controls are in place to manage best selling lines efficiently.
      • Be the E-Com point of contact for the P&A team to ensure the website accurately reflects available stock levels
      • SOP creation, minimum stock level set up and system planning to ensure we manage stock control process correctly for E-Com integration within the broader business

      Order Processing E-Com

      • Reporting on orders and status
      • Dispatching bikes from the TP / CSI Systems
      • Be primary contact for operations and E-com, fixing space allotment for key lines in Greenford and controlling stock call off from off-site locations

      Product data across systems / Customer service

      • Aid customer service in putting returned bikes back into stock
      • Acting on feedback from CS on dispatch/delivery issues

      • Working in a matrix organisation influencing people across multiple departments to improve communication and processes (D)
      • Comfortable managing large volumes of data with Strong MS Office and Excel skills (D)
      • Experience working in ecommerce operations (D)
